Position: Contracts Administrator

Location: Austin, TX (hybrid—onsite ~2–4 days/month)

About the role

Greenleaf Book Group has a great opportunity for a meticulously organized, detail-oriented Contracts Administrator with excellent time management skills. This role does not provide legal advice. The ideal candidate can quickly learn the pillars of our business, demonstrate proven written and oral communication skills, and has a desire to work with a driven team of individuals in a small but fast-paced environment.

At Greenleaf, we help big thinkers share their ideas with the world. The Contract Administrator will own our contract lifecycle—drafting from templates, redlining, managing approvals and digital signatures, and maintaining an organized repository. You’ll follow playbooks and escalate non-standard terms or requests. As needed and appropriate, you may be asked to support projects in other departments.

What you’ll do (primary—~85–90%)

  • Draft/redline standard agreements from templates: NDAs, MSAs, SOWs, service/vendor agreements, amendments, releases within 24 hours of request.
  • Maintain a clause library and fallback positions (A/B/C) for indemnity, liability caps, IP, confidentiality, payment terms, and termination.
  • Run contract intake → triage → approvals → e-signature (SignNow) → repository, tagging key exceptions and launching contracts in our CMS.
  • Operate a renewals calendar (90/60/30-day alerts) for key agreements.
  • Escalate non-standard provisions (exclusivity, IP ownership changes, DPAs/privacy, unusual indemnities, governing law/venue) per playbook.
  • Partner with internal teams (Sales/Editorial/Operations) to enable self-service on simple forms and ensure policy adherence.

As-needed / as-requested (secondary—~10–15%)

  • Clarify contract terms for Accounting (rates, net terms, notice dates, termination windows).
  • Assist ad hoc reconciliations when contract interpretation is required
  • Other support or special projects as needed and appropriate

What you bring

  • 2–5 years in contracts administration, legal operations, or paralegal (in-house preferred).
  • Strong Word redlining and DocuSign workflow skills.
  • Excellent organization, version control, and stakeholder communication.
  • Computer proficiency including familiarity with Mac and MS Office
  • Process and results driven individual who is a self-starter
  • Has a proactive, solution-oriented mindset
  • Superior attention to detail and time management skills
  • Ability to prioritize according to strict schedules
  • Quick and eager to learn with a “get it done” attitude
  • Eligibility to work in the US and meet onsite requirements.
  • Nice to have: publishing/media/IP familiarity; basic privacy/DPA awareness; experience in a remote work environment; experience with a disciplined spreadsheet + folder system.

This position is based in Austin, TX. Candidate is required to be able to travel to Austin as needed for meetings.
